We are trying out Vimeo instead of YouTube as YouTube has limited the live feeds to 10 minutes only! In response, we now upload the videos to Vimeo in a few days after the meeting. On Vimeo we have tried a new format where the video is not 3 hours long rather than they are broken up into the 10-20 minute presentations where you can choose the presentation you want to hear. I also put the higher resolution slides and video clips into the edited monolog so that the viewer can get a better picture of the images and videos. I hope you enjoy the changes. Suggestions for case presentations:
Please try and keep the length of time down to 10-15 minutes each as we would like to have everyone be able to present their cases that they brought to the meeting. We seem to run out of time or run rather long, so keep it short and to the point please. This is about difficult cases and interesting observations as well as problem solving where the presenter may not know the answer and is asking for a consensus or ideas from the audience. Sometimes the presenter has solved the problem and done the testing and literature searches to back up his/her conclusions. It is an open forum so “it is like a box of chocolates, you never know what you are going to get.”
Now that we are on Zoom, it is a little different! We will screen share with the presenters so that they can run Powerpoint or Keynote on their computer while using Zoom. Once they are done with the presentation and answering questions, then the screen sharing goes to the next presenter. the audience can type questions on the “Chat” function to the whole group labeled “everyone” or to the speaker directly. The audience can unmute their microphone by holding their space bar and start talking when they are recognized by the speaker. Once the question is asked, then let go of the space bar and the microphone will mute again. This is important to keep the ambient noise down as all the microphones of all the audience could potentially make a real noise when combined. The Zoom meetings are recorded and the video will be available with a link on this page when they are processed.
Also: this is an informal presentation and we like to see a fun image at the beginning of you or others having fun.
Please make sure that your presentations are scrubbed of any identifying information to keep patient confidentiality. NCRC and the administrators cannot be held accountable for any unintended release of information.
Suggestions for Meeting Hosts:
The host will need to send the details of the location, date, times, parking etc… to the Administrator (PVH) so that announcements and reminders can be emailed. We usually have three email reminders to the membership prior to the meeting. In the past we have had 20-40 people at the meetings. The host usually gets a company sales person to cover the lunch but this is up to the host to decide how to handle it. Sometimes they have a table set up in the hall to show their products as well.
If we want to “LiveStream”: For the meeting we will need a good sized conference room with a projector or large monitors and a high speed WiFi connection to be able to live stream it to YouTube. Communication with an “IT” person to look at the specifics of the connections is needed. We get about 125-500 viewers from all over the globe watching and sometimes posting questions to the presenters on line. We currently have 153 members in a 3 state area locally (ie not online) and it is growing.
As a host, you get to direct the order of the case presentations and are the “master of ceremonies” although all the coordinators help with comments and suggestions. It is an open informal forum without timers or specific rules. We usually start at 10 am to 11 am to allow people to travel a distance to get to the meeting. We break for lunch and start the meeting again. We do like shorter 5-15 minute presentations to allow as many physicians to present cases without going too far past 3 or 4 PM. We like to let the presenter finish their presentation even if it goes a little long. All cases can be presented such as surgery, medical issues, known diagnosis and unknowns that need advice or other opinions from the audience (“stumpers”). Occasionally a very rare disease is discussed in more detail to remind us all what it was but does not need to be a treaties on the subject.
